Administrative Assistant
Position: Admin Assistant
Location: New York, NY 10022
Start Date: ASAP
Long term contract Assignment

ROLE & RESPONSIBILITIES
• Assisting Facility Manager with Administrative duties such as facility management, helping in events, supply ordering and general admin duties
• Assisting in coordinating conference room set up, providing refreshments or catering/food delivery orders at client/employee’s request
• Office Assistant/Butler activities during Chairman, CEO & COO visits to NYC & Providing support in after working hours and weekends
• Responsible for Picking & Serving Coffee, Breakfast, Snacks, Lunch, Dinner Etc. during CEO/Chairman/COO meetings in NY office or Chairman’s home parties
• Responsible for all out of office activities, errands and other activities in NYC
• Providing support for company events, activities and coordination’s in USA (including events for SNU/SNF)
• Handling of any other duties/activities as directed by RM during special assignments involving Chairman, CEO & COO visits to NYC.
• Coordinating with janitorial vendors, car rental company and Chairman/CEO’s NY apartment management office for tasks assigned by RM
• Oversight of Other day-to-day Facility Activities-
• Ensure maintenance and upkeep of equipment, vending machine & water dispensers.
• Inventory - Assisting in placing regular orders for coffee, water, stationery, and any other ordering asks from leadership/business teams
• Assisting in allocation of seats
• Housekeeping
• Pantry & Related supplies
• Keeps supply room in good working order, ensuring cleanliness and property inventory.
• Helping in audits
• Any other duties as directed by Reporting Manager

PREFERABLE REQUIREMENTS
• knowledge of Excel sheet
• knowledge of facility management
