Full-time Administrative Assistant

We are looking for an excellent multi-tasker with excellent communication skills and an upbeat attitude. Candidates should be able to assist management, visitors, vendors, and residents by handling office tasks, providing polite and professional assistance via phone, mail, and email, managing petty cash, processing deposits and credit cards, running reports, and maintain files, and by being a helpful and positive presence in the workplace.

To be a successful Administrative Assistant, candidates should be professional, polite, and attentive while maintaining accuracy. They should be prepared, responsive, and willing to meet each challenge directly. Administrative Assistants must be comfortable with computers, general office tasks and excel at both verbal and written communication. More importantly, they should have a genuine desire to meet the needs of others.

Job Duties:

Types all correspondence, reports, etc. as they relate to our programs.
Maintains office filing system.
Enters statistical data compiled from program records into computer database.
Appropriately codes and processes all program invoices in a timely manner as instructed by Program Director.
Collects, processes, and submits all deposits and credit cards as instructed by Program Director.
Manages petty cash funds and assists with processing reimbursement for funds. Assists processing reimbursement of petty cash for our Hawley Center.
Processes and submits all required daily, weekly, and monthly reports.
Maintains and updates records, statements, reports, files, staff training log, employee information files, and volunteer files.
Answers phones and takes messages as needed.
Performs other duties as assigned.


Minimum of high school diploma/GED.
Must have at least 1-3 years of paid work experience in a business office or related field.
Must be able to read, write, and verbally communicate in English.
Has ability to learn and maintain a working knowledge of alcohol & treatment programs and dually diagnosed programs, abide by Federal client confidentiality regulations, specifically, CFR 42, Part 2 regulation and HIPAA, pertaining to policies and procedures.
Must have the ability to respond appropriately in emergency medical situations and incidents.
Has good knowledge of accounting principles and practices.
Has ability to work independently, exercise good judgment, and demonstrate good organizational skills.
Has ability to interact effectively, with employees at all levels in the organization, vendors, and community members.
Must have strong computer knowledge of Microsoft Word and Microsoft Office programs.
Accurate typing skills of at least 40 words per minute
Must have the ability to interact appropriately with clients, as needed.
Must have the ability to document in writing all incidents involving staff, residents, and the facility, as per program policy and procedures within a timely manner.
Must be flexible to meet scheduling demands.
Ability to pass all pre-hiring qualifications (TB test, health screening, and drug screen).
Must obtain CPR/First Aid within three months of employment.
Must obtain Food Handler's Card within three months of employment.
Valid California Driver’s License required, with driving record meeting insurers' requirements.
