Full-time Office Assistant/Bookkeeper - Houston, TX 77092

We are looking for a skilled Bookkeeper and Office Assistant to perform a variety of accounting, bookkeeping and administrative tasks. Ideal candidate must have experience with Quickbooks or other accounting software and must be fluent in English and Spanish.

Job responsibilities include keeping financial records updated and preparing reports and running accounting software program (Quickbooks) to process business transactions. A successful accounting assistant should be familiar with all accounting procedures and have a flair for numbers. Ultimately, a successful candidate will ensure that the company’s daily accounting functions run accurately and effectively.

Also, candidate will assume the duty of administrative support in order to optimize workflow procedures in the office. You will assist colleagues by supporting them with planning and distributing information. You will be the point of reference for all queries, requests or issues and will be an integral part of the company’s workforce.

The candidate for this position would have a regular office hours schedule and the possibility of working remotely on some days or partial days. There is room for growth in this position for a successful employee who is looking to grow with the company.

Major Functions:

Answering phone calls and redirect them when necessary
Managing the daily/weekly/monthly agenda and arrange new meetings and appointments
File and update contact information of employees, customers, suppliers and external partners
Support and facilitate the completion of regular reports
Provide accounting and clerical support to the accounting department
Type accurately, prepare and maintain accounting documents and records
Prepare bank deposits
Daily enter key data of financial transactions in database
Research, track and restore accounting or documentation problems and discrepancies
Inform management and compile reports/summaries on activity areas

Other Functions:

Preparing and disseminating correspondence
Develop and maintain a filing system
Provide assistance and support to company personnel
Constantly update job knowledge
Deposit checks at the bank
Check P.O. Box
Availability to work at events as promotional representative and help with the set up

Required Skills:

Proven work experience as a secretary or administrative assistant
Familiarity with office organization and optimization techniques
High degree of multi-tasking and time management capability
Excellent written and verbal communication skills
Integrity and professionalism
Proficiency in MS Office
Solid skills in bookkeeping and basic accounting procedures
Accuracy and attention to detail
Aptitude for numbers
Ability to perform filing and record keeping tasks
Data entry and word processing skills
Well organized

Qualifications:

High school degree a minimum, Associate’s degree or relevant certification is a plus
Experience with Quickbooks and/or basic accounting procedures
Must be Bilingual (English/Spanish)
