Full-time Executive Administrative Assistant

Description: Catalyst Experiential is looking for an Executive Assistant to join our team located in Newtown Square, PA. This position requires personal and executive support. The ideal candidate must have 3 years’ experience as an executive assistant. Must have advanced level skills in Microsoft Suite, especially Outlook.
Responsibilities will include, but are not limited to:
• Review and process incoming correspondence and manage a complex business calendar
• Answering calls, screening and liaising with clients competently
• Schedule and coordinate on-site and off-site meetings and conferences. Arranges multiple agendas and registers attendees, following up before each meeting
• Organize and maintain confidential and non-confidential files and records
• Handle general office and administrative tasks as needed.
• Retrieving of public records and deeds as necessary
• Conduct research, manage and source resources for a variety of needs
• Prepares various reports that involve gathering data, summarizing information and compiling into appropriate format
• Motivated self-starter, with a proactive approach to work, handling emergent and unique issues without requiring specific direction
• Able to interact with staff and clients and vendors in a fast paced environment, sometimes under pressure, while remaining calm, flexible and productive
• Ability to discern the proper channels for addressing issues/concerns
• Drafting communications and preparing presentations
• Manage personal and business purchases including: product research, purchasing, tracking shipments, returns
• Manage (autorenewals/renewals/new) subscriptions for various services (domains, hosting, magazines)
• Book travel arrangements and coordinate itineraries
• Prioritize scheduling of commitments
• Provides recommendations for changes in policies or procedures to improve efficiency and cost effectiveness of office operations. Recommends improvements in work flow and procedures as appropriate.
• Opens and maintains all entities pertaining to the business, maintaining high level of precision within filing system
• Collect and process mail
• Performs special projects as required and handles additional duties and responsibilities as assigned.
• Must be willing to work beyond the 40 hour work week and respond to off-hours requests for assistance as needed.

Requirements and Competencies:
• Outstanding time management skills, with proven ability to accomplish numerous tasks and changing priorities in an effective and timely manner; demonstrated ability to execute on short-term, deadline-driven tasks daily, as well as important, long-term projects requiring collaboration with multiple parties being able to follow up and complete multiple tasks and requests
• Proficient in Microsoft Office, especially Outlook
• Knowledge of business administration as well as strong interpersonal, written and verbal communication skills
• Intelligent and quick learner
• Analytical and exhibit a probing mind that achieves penetrating insights
• Proactive and forward thinking
• Openness to constructive feedback and ideas
• Ability to demonstrate negotiation and facilitation skills; and to plan, assign, and/or supervise the work of others
• Bachelor’s degree
• Must exude high level of confidentiality at all times
• A positive upbeat personality who focuses on opportunities rather than obstacles
• Must have your own reliable transportation
• Minimum of three years’ experience as an Administrative Assistant or Executive Assistant to senior management. Advertising or other equivalent business experience preferred.
Compensation includes base salary, plus bonus, and full health benefits. Specific compensation packages will be tailored to the candidate given their experience level with equity ownership available for the right candidate.
