Full-time Operations Administrative Support

at Special Kids Special Families in Colorado

SCOPE
This full-time, exempt position will be responsible for providing support for the Administration Team – Executive Director, Human Resources, Finance, Donor Development & Fundraising departments. This position is under the direct supervision of the Executive Director.

DUTIES
• Management and communication with visitors and clients at the Administration office
• Prepare donor letters & other misc. correspondence, filing & faxing as delegated
• Assist Executive Director in gathering data for grant reporting
• Assist Human Resources with scheduling interviews
• Maintain office equipment including admin office property management, call in repair and maintenance requests to vendor
• Oversee of HIPAA requirements in the Administration office
• General oversight and scheduling of administration office appearance (kitchen, front desk etc...)
• Track supply inventory, coordinate purchase of general office supplies
• Assist with preparing correspondence, arranging conference calls and scheduling meetings as needed
• Assist with copying documents and preparing presentations for meetings
• Record minutes for the Leadership Meetings & provide minutes to management participants
• Post job openings & pursue venues to recruit new employees
• Track personnel data in respective confidential files and assist with internal audit of personnel files
• Update, maintain, and communicate staff phone/contact list
• Assist Finance Department (accounts payables/receivables, medical billing, etc..) as needed
• Support event planning & fundraising as needed
• Manage Donor Snap database / input of donations (kind/in-kind) / create reports as needed
• Assist Executive Director as needed
• Assist all Admin departments as needed and assigned by Executive Director

MINIMUM QUALIFICATIONS
• Bachelor’s Degree in Business Administration preferred
• Minimum 3-5 years’ experience in an administrative setting
• Demonstrated skills in communication and problem solving
• Requires strong experience with Microsoft Office with emphasis on Excel/Word/Outlook
• Understanding of Budgeting and Financial Reporting preferred
• Preferred experience with database entry
• Team player with positive professional attitude and ability to work independently with minimal supervision
• Be able to multi-task, detail oriented, strong organizational and time management skills
• Valid driver’s license & current vehicle insurance, and acceptable driving record per SKSF standards

Onsite Mon-Fri 8am-5pm / full-time; exempt
SALARY: $45K/YR
