Full-time Legal Executive Assistant

Pay Rate: $28/hr
Duration: 5 mo (possible extension/possibly convert)

Reason for opening - need extra support (not a backfill)

High level Admin Support
Must be an excellent communicator, detailed oriented, efficient and organized
Proficient with G suite/MS Products
Degree not required but must have a min of 5 yrs legal admin exp

This role will provide high level executive administrative support to the President of Global BLA, PMD & Studios and the SVP – Production Management, US Networks. The role will also be responsible for handling contract drafting, transactional, production, litigation and other entertainment business and legal matters. The ideal candidate must have the ability to work with and maintain confidential information.

Key Administrative Duties:
• Provide phone coverage, prioritize and distribute correspondence, handle travel accommodations, coordinate and schedule all internal and external meetings.
• Develop procedures to ensure functional office operations.
• Type and compose memorandums, policies, minutes, manuals, letters, forms, procedures, proposals, and other documents and correspondence as appropriate.
• Answer telephone, screen and route calls, respond to internal and external inquiries and provide routine information within scope of authority.
• Conduct research work as needed.
• Provide a professional interface with the various DCL business units, department staff, external vendors, and consultants.
• Maintain and update supervisors’ daily calendar.
• Arrange travel itineraries and prepare travel and expense reports.
• Open, review, route, and disseminate interoffice and external mail.
• Assist with special projects, and provide general office support such as copying, scanning, and faxing.
• Establish and maintain records and files for executive. Review, sort, and file a variety of materials.
• Provide data entry, clerical support and prepare presentations as needed.

Key Legal Contract Admin Responsibilities
• Generate contracts from standard forms and track contracts at various stages of production/execution
• Administer contracts and oversee process of contract execution
• Proofread, edit, compare and redline documents and effectively navigate and operate within various computer databases relating to areas of responsibility
• Handle inquiries from internal and external contacts and draft related correspondence
• Provide general office support (e.g., maintain and organize files, fax, photocopy, schedule routine and ad hoc meetings, maintain supervisors’ calendars, answer telephones, log and place calls, order supplies, arrange travel itineraries, prepare expense reports and oversee submission of outside counsel bills and other invoices for payment)
• Interact with Discovery business units, including senior and executive Discovery personnel, as well as external business contacts and other third parties
• Collaborate with department managerial and administrative staff in the development of processes and procedures to increase department productivity
• Work with and maintain confidential information
• Perform other related administrative tasks as requested by supervisor(s)

Qualifications
• Bachelor’s degree or equivalent work experience required.
• Minimum of three years administrative experience.
• Preferred candidate will have a minimum of 5 years legal administrative experience at a law firm, a corporate in-house legal department, or in the business and legal affairs department of a television production or broadcast company.
• Experience with research and ratings preferred.
• Strong computer skills (proficiency in Windows, Word, Excel, and PowerPoint).
• Ability to identify, prioritize, and manage important administrative issues, multi-task and effectively prioritize work assignments in addition to handling changing priorities
• Strong written and oral communication skills as well as the ability to prioritize.
• Must be articulate, professional, detail oriented, and have strong organizational and administrative management skills.
• Must demonstrate strong analytical skills.
• The ability to work effectively and confidentially with a wide range of staff at all levels to achieve organizational objectives.
• Experience in creating and maintaining detailed filing systems.
• Candidate must be articulate, detail-oriented, and have strong organizational and administrative management skills.
• Candidate must also demonstrate initiative, resourcefulness, and an ability to manage multiple assignments under tight deadlines.
• Strong computer skills (highly skilled in Windows, Word, Excel, Outlook, and PowerPoint).
• Must have the legal right to work in the United States.
