General Description:
Family Advocacy Program (FAP) Administrator shall provide administrative and support services within the Army Community Service (ACS) FAP Program.
Specific Tasks:
• Provide administrative services and maintain the following:
a) Administrative support telephone services.
b) Perform a variety of record keeping and filing functions, maintain record forms and information.
c) Ongoing documentation management.
d) Prepare and manage reports and correspondence, develop databases.
e) Schedule FAP classes, update existing materials.
f) Document all necessary data in the ACS Client Tracking System (CTS).
• Maintain records and files in compliance with FAP Standard Operating Procedures (SOP) and ACS certification standards.
a) Answer and document all phone calls and voice messages for FAP administration in
call logs.
b) Develop and maintain a suspense tracker for execution of documents and
correspondence, to include email, meetings, briefs, and FAP events.
• Develop a filing system for maintaining files. You shall complete paper files, with replicating electronic files.
• Maintain and develop correspondence to include requests for clearance, appointment letters, orders, memoranda, and meeting minutes within five (5) days of meeting being held, ACS Management Report (FAP portion) due fifth (5th) calendar day of following month, quarterly FAP Metrics, due fifth (5th) calendar day following end of quarter.
• Develop a system to compile information from all Family Advocacy components into one single data source, using Excel. Draft an instruction SOP, to include labeling and filing procedures, on the use of the database. Maintain the compilation and develop reports from the database, at the end of each month.
• Develop and continually update a library of references for use by FAP personnel. The library is to include, hard copies of document templates, installation specific regulations and policies, and FAP curriculum.
• Shall meet with the Contracting Officer’s Representative (COR) in person once per week to discuss calendar due outs, current and future administration needs and progress. You shall with the COR, engage in a continuous review of Installation Management Command (IMCOM) guidance as it comes in and incorporate changes in direction as appropriate. Additionally, the COR will schedule meetings with the FAP Program Manager and the you will review and incorporate the changes in IMCOM guidance.
• Prepare and distribute marketing materials, and provide administrative support to FAP instructors during classes.
Qualifications:
• Ability to fluently read, write, and speak English (proficiency levels equivalent to levels 3 or higher of the BILC STANGAG 6001 Edition 5 dated February 2019 for reading and writing).
• 1-year experience utilizing computer programs necessary for accomplishment of duties (i.e. MS Word, Excel, PowerPoint, Outlook, Teams, internet and email).
• Experience organizing and managing paper and electronic files.
