General Description:
Assist a variety of administrative support functions, secretarial duties, and provide provider credentialing services for the surgeon’s office. Assist in basic correspondence, calendar and schedule support services, answer phone and review of provider credential files, which are presented for the granting of privileges.

Specific Tasks:
• Maintain and coordinate the various administrative support functions, secretarial duties and credential program process review. Works directly under the supervision of the III MEF Surgeon and Deputy Surgeon to ensure all administrative duties and tasks are met in accordance with regulations and requirements. Ensure the evaluation, delineation, proper granting and reappraisal of clinical privileges for all health care providers and clinical support staff.
• Aids the Surgeons Office in daily assigned task by providing administrative support functions and secretarial duties. This is done through understanding the organization, methods, programs, committees, funds, and other tools associated with organization representative on administrative matters. Maintain a tracking system for the internal processing of documents relating to secretarial duties. Knowledge of Navy correspondence generation, routing and processing; to independently preparing and distribute correspondence, reports, briefs, filling systems, and instructions.
• Aids in maintaining the SharePoint and share drive database(s) as required per service policy to maintain administrative and credentialing information that used in making organization decisions. Prepare reports, plans, internal operating procedures and other guidance for dissemination as required to, resolve problems, and provide recommendations.
• Assist the Deputy Surgeon and Senior Enlisted Leader (SEL) in the tracking, routing and submission of military personnel awards, civilian personnel incentive and required individual evaluations for military and civilian personnel.
• Maintain Individual Credential Files (ICF) and Individual Professional Files (IPF), program directives, instructions, forms, committee meeting minutes, and working papers.
• Analyze, evaluate and interpret data compiled for reporting requirements.
• Ensure compliance with SECNAV, OPNAV, the Headquarters U.S. Marine Corps (HQMC) and BUMED directives and III MEF/USMC instructions regarding reporting requirements; clarification of directives, definitions or other subject matter relative to the credentials and quality assurance programs to provide recommendations for incorporation into existing programs.
• Notify appropriate BUMED point of contact (POC) on the status of practitioners who may have adverse actions pending.
• Ensure that necessary correspondence, messages, and reports received and transmitted meet the requirements of applicable instructions.
• Maintain a tracking system for the internal processing of documents relating to credentials review, staff appointment, clinical privileges status, and quality assurance matters.
• Maintain credential file information on the Joint Centralized Credentials Quality Assurance System (JCCQAS) of all licensed medical professionals associated with the command.
• Report demographic, statistical, educational and professional information to various commands and higher Authority.
• Ensure all applications for clinical privileges and staff appointments are processed within designated time frames.
• Analyze all credential applications for completeness and appropriateness.
• Prepare all necessary documents for signature by the III MEF Surgeon, Chairman of the III MEF MEC and the Chairman of the Credentials Committee.
• Create agendas and develop meeting minutes for the Credentials Committee and the III MEF MEC. Advise committee members of any deviation from the norm.
• Adhere to privacy and confidentiality regulations and maintain all information and data accordingly.
• Coordinate the flow of information between Medical Quality Assurance (MQA) program component activities.
• Assist in integration and coordination of MQA activities and outcomes among all III MEF aid stations and Marine Centered Medical Homes (MCMH).
• Monitor MQA initiatives (such as the development of protocols, command notices or directives, and standard operating procedures manuals) with appropriate action officers and committees.
• Maintain security and confidentiality of MQA-related minutes, files, minute submissions, and data.
• Provide periodic staff education relative to MQA & Credentialing program activities/needs. (Command Indoctrination, In-service training).
• Maintain an up-to-date collection of reference material pertinent to MQA/Credentials activities/functions.
• Develop the master calendar for MQA-related reporting requirements.
• Summarize Occurrence Screens/Management Variance Reports results.
• Provide guidance and technical advice on the execution of the Focused Professional Practice Evaluation (FPPE), Ongoing Professional Practice Evaluation (OPPE), and Performance Appraisal Report (PAR) programs for the Surgeons of the Major Subordinate Elements (MSEs), III Marine Information Group, 3d Marine Expeditionary Brigade and 31st MEU Surgeons.
• Knowledge of Command HIPPA policies and procedures.





Education:
• Graduate of high school or equivalent.


Experience:
• A minimum one year of healthcare-related experience.


Certification:
• Completed Navy Medical Command’s Medical Staff Services/Credentialing & Privileging (C&P) program.
• Current Centralized Credentialing and Privileging Directorate (CCPD)-BUMED Credential Manager Certification.

Knowledge/Skills:
• Sufficient skills to be able to independently review and verify the education, training and licensure of medical providers to determine authenticity of education/training of providers to ensure compliance with all credentialing policies established by the command and higher authority.
• Familiarity with Microsoft Office software.
• Familiarity with the Navy Correspondence Manual, all credentialing and quality assurance/risk management directives specifics.
• Ability to analyze data/information for implementation and presentation.
• Ability to analyze problems and recognize significant aspects, reach objective conclusions and present recommendations in a clear and concise manner.
• Ability to read and interpret statistical information/instructions.
