WHO WE'RE LOOKING FOR:
We’re hiring a Client Experience & Office Specialist to support our clients and internal team with professionalism, detail, and a service-first mindset. This is a hybrid role: part customer support and sales enablement, part hands-on office and shipping coordination.
You’ll be the face of our company for many small-to-midsize clients — helping them get what they need quickly, professionally, and with a great experience. At the same time, you’ll ensure our office runs smoothly, our kits go out on time, and our shared spaces are well maintained.
Over time, there’s room to grow into client success or internal sales, but only if it’s a fit for you and your performance reflects it. For now, we’re looking for someone who’s organized, client-savvy, and happy wearing multiple hats.

WHAT YOU'LL DO:
- Client Support & Sales-Related Tasks
- Respond to customer inquiries and product questions (email, phone, in-person).
- Send order confirmations and support clients with clear, timely communication.
- Follow up on leads, open quotes, or delivery status issues.
- Maintain clean CRM records (HubSpot) for full visibility across the team.
- Identify and flag upsell or cross-sell opportunities to the sales team.
- Contribute to client-facing resources or communications.

- Fulfillment & Office Coordination
- Assemble and ship client collection kits, ensuring accuracy and tracking.
- Monitor outgoing/incoming deliveries; coordinate with USPS/UPS to resolve any issues.
- Perform weekly inventory checks (kits, lab supplies, kitchen, office needs).
- Coordinate recurring services (lab coat laundry, supply restocking, etc.)
- Welcome visitors and vendors; assist with front-desk and office hospitality tasks.
- Keep workspaces organized and well-stocked.

- Continuous Improvement & Growth Support
- Submit weekly summaries or brief reports to keep leadership in the loop.
- Offer feedback on systems, tools, or processes that could be improved.
- Support client onboarding, small campaign outreach, or internal documentation as needed.
- Take initiative on improving client touchpoints or office workflows.
- Be a team-first contributor with a willingness to evolve with the company.

WHAT YOU BRING:
- 2–4+ years of experience in a professional client service, admin, or internal sales support role
- Confidence in customer communication — written and verbal
- Experience with tools like Google Workspace, CRMs (HubSpot preferred), and tracking tools
- Strong organizational habits, time management, and reliability
- A proactive mindset: you notice what’s missing, and you fix it
- Comfort with light physical work (assembling kits, managing small shipments)
- Bonus: interest in biotech, plant science, or agriculture
