Kiliuda Consulting LLC, a subsidiary of Three Saints Bay, LLC, and government contracting industry leader is looking for a Administrative Assistant to support the overall operational objectives of the Surgical Oncology Program, Center for Cancer Research, National Cancer Institute in Bethesda, MD



Responsibilities:

Coordinate scientific publications for submission.
Coordinate, plan, prepare and edit documents for submission related to Surgical Oncology Program PI’s professional activities, such as boards and committees.
Research both computerized and non-computerized medical literature in major national and international databases, such as the National Library of Medicine’s PubMed data-base, as well as NCI databases such as the Physician Data Query (PDQ).
Research, develop, review, and revise a variety of documents and reports related to such initiatives; create executive summaries, budget estimates, flow sheets, flip files, summary matrices and talking points.
Prepare and coordinate FTE personnel packages, e.g. initial, renewal or termination appointments, quadrennial review, pay adjustments.
Prepares and coordinate non-FTE personnel packages, e.g. CRTA, Visiting Fellow, and Volunteers, including appointment, renewals and terminations.
Enter Fellow information in the Fellowship Payment System. Coordinate health insurance with FAES.
Prepare and coordinate medical staff appointments, e.g. initial, renewal or termination appointments.
Initiate enrollment, mid-year and close out of the Performance Management Appraisal Program (PMAP)
Maintains Surgical Oncology Program PI’s daily calendars, making appointments, arranging conferences and meetings without specific prior approval based on knowledge of the supervisor’s schedule.
Coordinate the planning of scientific meetings, including communications with distinguished lecturers, invited guests and participants, registration, and meeting logistics.
Schedule and organize meetings and work with staff to identify key issues that must be addressed at the meetings: develop an agenda; identify, assess, draft, edit, revise, and assemble necessary background materials.
Plan, coordinate and comprehensively handle logistics for Surgical Oncology Program PI’s domestic and international travel, including outside activities and sponsored travel.
Maintain databases for tracking, analyzing, and reporting of all activities including, professional activities, travel, and project management.
Follow up on all assigned projects and correspondence to ensure that timely completion of tasks and/or deadlines is met.
Coordinate signature and review for a variety of time-sensitive, confidential documents such as, professional licensure reimbursement requests, and memorandums of understanding; receive and process action items submitted to the Surgical Oncology Program PIs for response.
Analyze information and materials requested and determine the appropriate CCR or NCI components and staff to assist in the preparation of responses.
Review and process requests for necessary systems, such as CGE, POTS, NED, ITAS.
Enter maintenance agreements into the Maintenance Agreement Tracker
Provide administrative support to the Surgical Oncology Program PIs during execution of day-to- day functions, planning and implementation of projects, including setting priorities, managing assigned tasks, monitoring project status, reviewing deliverables, and providing status updates.
Develop periodic and special reports and procedures, search records and files, the internet, background materials and precedent references.
Obtain information and data for Surgical Oncology Program PIs; review and summarize materials and data. Gather and coordinate information for review, conduct data entry and file maintenance, edit and or prepare text, data and charts as needed.
Prepare a variety of documents to include, but not limited to letters, memorandums, and any other assigned material, (reports, schedules, agendas, manuscripts, abstracts, graphs etc.); obtain clearances as needed.
Prepare and gather material for use in reports, presentations, and speeches of the Surgical Oncology Program PIs. This includes maintaining a file of visual aids for use in presentations and making all arrangements for the presentations.
Maintain calendars as assigned.
Reconcile lost or missing property.
Arrange for the maintenance and repair of facilities
Prepare, maintain, and disseminate on-call schedule for Surgical Oncology Program
Receive visitors and telephone calls to the Surgical Oncology Program PIs. Screens calls by determining the nature and purpose of the call referring calls not requiring the supervisor’s attention to other staff members or handling the matter personally. When calls must be referred to the supervisor the incumbent furnishes the supervisor with information readily obtainable to aid in the discussion.
Control all correspondence. Receives all incoming unclassified mail for the supervisor and maintains a daily log of all official mail. Determines whether correspondence should be brought to the attention of the supervisor, referred to the appropriate personnel or handled personally. Follows up on incoming mail to ensure timely and appropriate action. Reviews all outgoing correspondence for neatness, accuracy, adherence to established format and adherence to the supervisor’s policies.
Draft correspondence such as routine official correspondence, social and personal acknowledgments, congratulatory letters, acceptance letters and routine office reports
Requirements:

Ability to pass a pre-employment background check
Minimum of four years' experience in a professional administrative setting or a Bachelors Degree with some professional office administrative experience
Excellent MS Office Suite skills (MS Word, Excel and Outlook)
Excellent written and verbal communication skills
Excellent analytical, Interpersonal, organizational and time management skills
Experience with taking meeting minutes
Knowledge of information retrieval as well as computerized and non-computerized sources of medical literature to conduct extensive research
Ability to interact professionally and effectively with all levels of office staff and members of the public
Experience in a clinical/medical setting preferred but not required
Experience in the federal government setting is preferred but not required
Position is located in Bethesda, MD
