Full-time Administrative Assistant #2952

at Three Saints Bay Family of Companies in United States Of America

Kiliuda Consulting LLC, a subsidiary of Three Saints Bay, LLC, and government contracting industry leader is looking for a Administrative Assistant to provide support services to satisfy the operational objectives of the National Cancer Institute, Center for Cancer Research, Lymphoid Malignancies Branch in Bethesda, MD.



Responsibilities:

Maintain daily calendars, making appointments, arranging conferences and meetings as needed for assigned Lymphoid Malignancies Branch Investigators.
Prepare and coordinate Full Time Employee (FTE) personnel appointment packages, e.g. initial, renewal or termination appointments, quadrennial review, pay adjustments.
Prepares and coordinate non-Full Time Employee (FTE) personnel appointment packages, e.g. Cancer Research Training Award (CRTA), Visiting Fellow, and Special Volunteers, including appointment, renewals and terminations.
Prepare Medical License/Board certifications reimbursements packages for branch staff.
Enter and maintain Fellow information in the Fellowship Payment System (FPS).
Coordinate health insurance with the Foundation for Advanced Education in the Sciences (FAES).
Enter registrations and updates in the NIH Enterprise Directory (NED) system.
Initiate enrollment, mid-year and close out of the Performance Management Appraisal Program (PMAP) as needed.
Manage branch email distribution list.
Receive and screen calls and visitors, direct them to the appropriate staff members, and when appropriate, personally handles the calls as needed.
Receive mail and sorts it according to priorities as needed.
Prepare and coordinate branch vacancy announcements on NIH websites and journals as needed.
Manage, coordinate, and track new staff requests for IT equipment (computers, iphones, printers etc) and return of equipment for departing staff. Reconcile lost or missing property.
Receives visitors and telephone calls to the Lymphoid Malignancies Branch as needed. Screens calls by determining the nature and purpose of the call referring calls not requiring the supervisor’s attention to other staff members or handling the matter personally. When calls must be referred to the supervisor the incumbent furnishes the supervisor with information readily obtainable to aid in the discussion.
Prepares and gathers material for use in reports, presentations, and speeches of the Lymphoid Malignancies Branch Investigators as needed. This includes maintaining a file of visual aids for use in presentations and making all arrangements for the presentations.
Coordinate the planning of scientific meetings, including communications with distinguished lecturers, invited guests and participants, registration, and meeting logistics.
Prepare a variety of documents as needed to include, but not limited to letters, memorandums, and any other assigned material, (reports, schedules, agendas, manuscripts, abstracts, graphs etc).
Provide administrative support to the Lymphoid Malignances Branch Investigators as needed during execution of day-to- day functions, planning and implementation of projects, including setting priorities, managing assigned tasks, monitoring project status, reviewing deliverables, and providing status updates.
Develop periodic and special reports and procedures, search records and files, the internet, background materials and precedent references.
Perform a variety of administrative tasks as assigned by the branch Administrative Officer and Lead Program Specialists.
Plan, coordinate, and comprehensively handle logistics for the Lymphoid Malignancies Branch staff domestic, international travel, including outside activities and sponsored travel.
Maintain databases for tracking, analyzing, and reporting of all activities including, professional activities, travel, and project management.
Provide cross coverage when other administrative members are out of the office.
When needed coordinate any supplies that need purchasing with the lead Program Specialist.


Requirements:

Ability to pass a pre-employment background check
Ability to pass a Public Trust background investigation
Minimum of High School Diploma, Bachelors Degree is preferred
Minimum of two years experience in a professional administrative setting
Excellent written and verbal communication skills
Excellent analytical, organizational and time management skills
Advanced MS Office Suite (MS Word, Excel, Outlook, SharePoint, and Power Point) skills is required
Excellent attention to detail
Ability to transcribe and edit documents
Ability to work independently and in a collaborative team environment consisting of a diverse population
Ability to multi-task and assist multiple employees at once
Must be able to speak and write fluently in English
Preferred Qualifications:

Experience in a clinical or medical setting
Experience in a federal government setting
Prior NIH and Federal Travel experience


Position is located in Bethesda, MD
