Full-time Case Management & Office Coordinator

You are the front line for the office, building initial relationships with customers & other departments as a resource with a non-biased approach & this is the image we want to project, not TPS reports. If you can take charge of an office & be the person the executive director relies on to know the answers even before asking the questions, while handling the unique & diverse situations this office encounters, then, you’ve probably got yourself a job! You will handle all the details, from scheduling the department to tracking reports & so much more. But the catch is you have to do so with an upbeat demeanor & motivation, while understanding confidentiality is the utmost importance here. Summary of Responsibilities
Coordinates the office activities of a department including the reception area, business operations, and facilities. Assists with the case management database and education and training activities.

Essential Functions
Ensures accurate maintenance of office records, manuals, and documents keeping abreast of new policies and procedures, including applicable state and federal retention standards. Coordinates all office functions including but not limited to administering staff changes, training, supplies, equipment maintenance, repairs and renovations.
Resolves office problems independently and facilitates solutions; confers with supervisor to resolve more complex situations.
Coordinates and schedules arrangements for meetings, conferences, and events. Performs clerical duties such as prepares and distributes correspondence, forms, reports, presentation materials and other written communications.
Assists with the development and maintenance of a case management database to organize, manage, and track information for investigations.
Assists in the development and/or implementation of University-wide education, awareness, and/or prevention trainings, programs and campaigns.
Provides database information on investigation caseload and disposition of investigations.
May provide ongoing monitoring and tracking of department budget

Minimum Education
High school diploma or equivalent

Minimum Experience
Three (3) years of experience in general office, clerical, administrative support or related field, with one (1) year of experience in case management, legal, disability accommodation, discrimination, Title IX, equal opportunity or related field

Knowledge, Skills and Abilities
Capable of non-bias customer service focus to address clients and resolve office issues independently and facilitate solutions; confers with supervisor to resolve more complex situations.
Ability to accurately coordinate and make schedule arrangements for department, team members and especially Executive Director.
High integrity and interpersonal skills to coordinate with University departments and compliance partners on matters of a confidential nature.
Ability to maintain the case management database, manage, and track information in an orderly & timely manner; prioritizing multiple competing deadlines with stability and tact.
Self-sufficient and capable skill set to work closely with an executive to ensure smooth operations of the department including appropriate dissemination of information.

Pay range beginning point $37,000, adjusted with experience
